Accounting Assistant

This is a permanent part-time position working approximately 8 hours/week.

Position Summary

As the Accounting Assistant for Women’s Global Education Project (WGEP), you will join a dynamic, U.S.-based team working to advance girls' education internationally. This role supports our finance department and assists our Executive Director with spreadsheets, scheduling, and process streamlining. This position is based in the Chicago suburb of Oak Park, Illinois.

Responsibilities

  • Accounts Payable & Controls: Manages full-cycle payables by assembling the complete backup documentation for every invoice and routing them to the Executive Director for approval before executing disbursements.

  • Bank Reconciliations: Performs monthly reconciliations for both domestic operating accounts and KES currency accounts, ensuring every bank transaction is properly coded, and its primary source documentation is uploaded.

  • Partner Ledger Maintenance: Reviews monthly financial reports submitted by international field partners, updates separate program ledgers to verify expenditures against approved grant budgets, and tracks outstanding partner advances.

  • Payroll & Leave Tracking: Reviews monthly employee timesheets for accuracy while maintaining the internal tracking system for monthly accrued and annual employee paid time off totals.

  • Revenue & Development Reconciliation: Performs monthly cross-reconciliations between general ledger donation revenue, the fundraising database, and tracking sheets kept by the Event Manager to flag and resolve variances.

  • Budgeting Assistance: Supports the annual organizational and programmatic budgeting process.

  • Audit Preparation: Supports the finance manager during the annual external audit by efficiently locating and or creating schedules and ledgers requested by auditors.

  • Education/Experience: 

    • Bachelor’s degree in accounting or equivalent experience (in non-profit organizations preferred)

    • Proficient with accounting systems (QuickBooks preferred)

    • Advanced spreadsheet skills (Excel/Google Sheets) and a comfort level with tech tools
